Fleiko provides remote fleet management software to small businesses. Our platform helps fleet operators track vehicles, drivers, maintenance schedules, compliance documents, repairs, and monthly operational costs.

When you submit an inquiry on our website:

• Name, company name, email address, phone number, and website URL
• Business type and a description of your fleet management needs
• The page you submitted from and any referral information in the URL

When you create an account and use the portal:

• Email address and password (passwords are hashed by our authentication provider — we never store them in plain text)
• Company profile: legal business name, phone number, and address
• Vehicle records: make, model, year, license plate, VIN, current mileage, fuel type, color, and purchase information
• Driver records: full name, email address, phone number, driver's license number, and license class
• Documents you upload: registrations, insurance certificates, inspection reports, and similar compliance documents, along with their expiry dates
• Maintenance and repair records: schedules, completion dates, vendor names, costs, and notes
• Vehicle GPS location: latitude, longitude, and timestamp — recorded when a portal user actively enables location tracking for a specific vehicle
• Usage data: pages visited, features used, session timestamps, and IP address

• To provide, operate, and improve the fleet management platform
• To send service emails: account invitations, repair status updates, maintenance reminders, and document expiry alerts
• To generate monthly fleet reports and operational analytics visible to your team
• To respond to inquiries and communicate about our services
• To detect and prevent fraud, abuse, and unauthorized access
• To improve the platform using aggregated, anonymized usage patterns — we do not use your fleet or driver data for this purpose

We do not sell your personal data. We share data only with the following service providers who process it on our behalf under binding data processing terms:

We may also disclose information if required by law or to protect the rights, property, or safety of Fleiko, our customers, or others.

If your account includes records for your drivers, your business is the data controller for that information. Fleiko processes driver data on your behalf as a data processor. You are responsible for informing your drivers that their information is stored in the platform and for complying with any applicable employment, privacy, or monitoring laws in your jurisdiction.

The portal includes an optional GPS tracking feature. When a portal user (typically a driver or fleet manager) presses “Start Tracking” and grants location permission, the device's GPS coordinates are recorded and stored against the selected vehicle. Location data is only collected while tracking is actively enabled — it is never collected in the background without explicit activation. Location records are visible to all members of your company's portal account.

We do not integrate with electronic logging devices (ELDs) or ingest hours-of-service records. Mileage figures stored in the platform are entered manually by your team. If your account includes drivers whose location may be tracked, your business is the data controller for that location data and you are responsible for informing drivers before tracking begins.

• Account and operational data: retained for the duration of your subscription plus 30 days after cancellation
• Inquiry submissions: retained for up to 2 years
• Uploaded documents: retained until you delete them or your account is closed
• Deleted accounts: all data is permanently deleted within 60 days of account closure

Regardless of where you are located, you may request to:

• Access the personal data we hold about you
• Correct inaccurate data
• Delete your data
• Receive a portable copy of your data
• Restrict or object to how we process your data

California residents (CCPA/CPRA): You have the right to know what personal information we collect, delete your information, correct inaccurate information, and opt out of the sale or sharing of personal information. We do not sell personal information.

EU/UK residents (GDPR/UK GDPR): Our legal bases for processing are performance of contract (account and service data), legitimate interests (fraud prevention and product improvement), and legal obligation where applicable. You have the right to lodge a complaint with your local data protection authority.

To exercise any right, email legal@fleiko.com. We will respond within 30 days.

We use industry-standard security practices including TLS encryption in transit, encryption at rest, role-based access controls, and audit logging. Access to your account data within Fleiko is restricted to your authorized team members and, where necessary for support purposes, Fleiko staff.

No method of transmission over the internet or electronic storage is completely secure. If you believe a security incident has occurred, please notify us immediately at legal@fleiko.com.

We use session cookies that are strictly necessary for authentication and platform operation. We do not use advertising cookies, third-party tracking pixels, or behavioral analytics tools that identify individual users.

We will notify account holders by email at least 14 days before making material changes to this policy. The effective date at the top of this page reflects the date of the most recent update.
