Refund Policy

1. Subscription Fees
Fleiko charges a monthly subscription fee that covers both access to the fleet management portal and the remote fleet administration services performed by our team during that period. Fees are invoiced monthly and are due within 30 days of invoice.
Once a billing period begins, the subscription fee for that period is non-refundable. This applies whether or not you log in to the portal or actively engage with our team during the month.
2. Human Work Is Non-Refundable
Unlike pure software subscriptions, Fleiko's service includes real human work performed on your behalf each month — tracking maintenance schedules, coordinating repairs with vendors, organizing compliance documents, monitoring expiry dates, and preparing monthly fleet reports. This work begins at the start of each billing period.
Because this labor cannot be undone once performed, fees for any billing period during which Fleiko has provided managed fleet administration services are non-refundable, even if you cancel partway through the month.
3. Cancellation and the 30-Day Notice Period
You may cancel your subscription at any time by providing written notice to legal@fleiko.com. Cancellations require 30 days' advance notice before your next renewal date.
- If you give notice 30 or more days before renewal: your subscription ends at the renewal date and you will not be charged for the next period.
- If you give notice fewer than 30 days before renewal: your subscription renews for one final billing period, after which it ends. No refund is issued for that final period.
- There is no pro-rating for mid-month cancellations. The full monthly fee applies to any period in which services have been delivered.
4. Onboarding and Setup
Any onboarding work performed by Fleiko — including initial data entry, vehicle and driver record setup, or account configuration — is non-refundable once that work has commenced, regardless of whether you proceed with the ongoing subscription.
5. Non-Use Does Not Entitle a Refund
No credits or refunds are issued for periods of non-use, underuse, or low engagement with the portal. Fleiko's team continues to monitor your fleet, track upcoming maintenance and document expirations, and maintain your records during any period your account is active, whether or not you actively log in.
6. Service Credits for Fleiko Failures
If Fleiko fails to deliver agreed services for a full billing month due solely to Fleiko's own error or system failure — and that failure is documented and reported to us within the billing period — we may, at our discretion, issue a service credit equal to up to one month's subscription fee. Service credits are applied to a future invoice and cannot be exchanged for cash.
This discretionary credit is the sole remedy available for service shortfalls. It does not apply to failures caused by client-provided inaccurate data, client unavailability, third-party vendor delays, or circumstances outside Fleiko's control.
7. Chargebacks and Disputes
Initiating a chargeback or payment dispute without first contacting Fleiko is a violation of these terms. If you have a billing concern, please reach out to legal@fleiko.com and we will work to resolve it promptly. Unresolved disputes are subject to the arbitration process in our Terms of Service.
