Fleet Management Software for Small Trucking Fleets

Vocational trucks, intrastate operators, hotshot fleets, support trucks — the trucking work that doesn't fit enterprise telematics platforms.

Most fleet software for trucking is built around ELD compliance and DOT regulation, with pricing and contracts to match. If you run a small trucking operation that doesn't need certified ELD — vocational trucks, intrastate-only operators, hotshot owner-operators, support fleets for a construction or service company — those tools are overbuilt and overpriced.

Fleiko is fleet management software for small trucking operators running 2–50 trucks. Track maintenance, documents, repairs, costs, drivers, and fuel — without ELD lock-in, hardware install, or a 3-year contract.

Where trucking operator fleets get stuck

Truck downtime is exponentially expensive

A truck out of service for a day costs the load. Out for a week kills relationships with shippers. Preventive maintenance is the only sustainable answer.

Document load is high

CDLs, medical cards, insurance, USDOT, MC numbers, IFTA, IRP, truck registrations — every one has its own renewal date.

Maintenance cycles are unforgiving

Class 5–8 trucks need scheduled service that, if missed, leads to $5K–$20K repairs. Tracking by hand fails at scale.

Cost per mile is your whole business

Trucking margins are thin. If you can't tell which truck is running at $1.40/mile and which is at $2.05/mile, you can't bid right.

What Fleiko handles for trucking operators

1

Mileage and hour-based maintenance triggers

Heavy-truck service intervals support mileage or engine hours. Service A, B, C cadence templates per truck class.

2

Document tracking for CDL and trucking specifics

CDLs, medical certificates, USDOT, MC, IFTA, IRP — every truck document type can be tracked with expiry alerts.

3

Driver management for owner-operators and W-2

Track both owner-operators and company drivers. License, medical card, drug-test records, vehicle assignment.

4

Per-truck cost reporting

Maintenance, repairs, fuel, and depreciation per truck. Build your true cost-per-mile from real data.

5

Repair history for the shop conversation

Every repair logged with estimate, approval, and outcome. When the shop quotes another transmission, you can see what's been done before.

How a trucking operator sets up Fleiko

  1. 1

Add your trucks with full classification

Make, model, year, VIN, GVWR class, plate, current odometer or engine hours.

  2. 2

    Onboard drivers (owner-op or W-2)

CDL details, medical card, contact info. Assign trucks. Track expiries.

  3. 3

    Set heavy-duty maintenance schedules

Truck-specific Service A/B/C cadences by miles or engine hours. Brake adjustments, DOT annual, PMI inspections.

  4. 4

    Log fuel and IFTA-relevant data

Track per-truck fuel for cost reporting. IFTA-specific mile-by-state tracking isn't a Fleiko core feature — see limitations below.

  5. 5

Watch cost per mile trend monthly

If a truck climbs above your fleet average, dig in. Maintenance, fuel efficiency, or driver behavior is moving.

Example

A regional intrastate trucking operator

Before: 9 trucks running short-haul intrastate. Owner-operator + 7 company drivers. Tracking maintenance on paper, missed a brake inspection that turned into a $4,200 repair after wear-induced damage.

After: On Fleiko: heavy-duty maintenance cadences set by mileage. Driver medical card and CDL expiry alerts hit 60 days out. Per-truck cost-per-mile reporting exposed one truck running 35% above fleet average — turned out to be a fuel injector issue caught early.

Pricing for trucking operators

Small trucking fleets typically start on DIY Pro at $99/month for the full feature set, since trucks involve more documents and heavier maintenance tracking than lighter vehicles. Operators with under 15 trucks can use DIY Starter at $39/month. Managed plans from $399/month help with monthly reporting and document follow-up.

Where Fleiko is NOT the right fit

  • !Fleiko does not provide ELD compliance, DOT certification, or driver hours-of-service tracking.
  • !Fleiko does not calculate IFTA fuel tax by state (we capture the inputs, but don't run the calc).
  • !For DOT-regulated interstate trucking, you'll need a certified ELD provider in addition to Fleiko.

Frequently asked questions

Does Fleiko offer ELD or DOT compliance?

No. Fleiko does not provide certified ELD (Electronic Logging Device) or DOT compliance services. If your trucks are required to use ELD — typically interstate-operating Class 6+ trucks with a CDL driver — you'll need a certified ELD provider like Samsara, Motive, Geotab, or KeepTruckin. Fleiko complements those tools for the maintenance, document, repair, and cost-tracking side; it doesn't replace them.

Who is Fleiko's trucking offering best for?

Best fits: vocational truck fleets (utility, dump, vacuum, service trucks), intrastate operators not required to run ELD, small hotshot owner-operators who run their own admin, and support truck fleets for a larger non-trucking business (construction, landscaping, services). Worst fit: regulated CDL fleets running interstate that need certified ELD as a primary tool.

Can Fleiko track IFTA and IRP renewals?

Document expiry tracking works for any document type — including IFTA decals, IRP cab cards, and quarterly IFTA filing deadlines. Mile-by-state IFTA fuel tax calculation isn't a Fleiko feature, but the source data (mileage and fuel logs per truck) is captured.

What about driver hours of service (HOS)?

Fleiko doesn't track driver HOS — that's a certified ELD function and we don't replace your ELD provider for that. We do track driver records (CDL, medical, drug-test, assignments) and vehicle records.
